How we handle your records
Our goal is to make your files searchable and organized without creating unnecessary risk. The steps below reflect our standard workflow and can be tailored to your needs.

Intake
We confirm scope, document types, and any sensitivity requirements. Intake is by appointment to maintain control of custody.

Scan and organize
Documents are digitized and organized into a clean folder structure with consistent file naming.

Make searchable
OCR is applied so PDFs are text-searchable for names, dates, and keywords, improving retrieval speed.

Deliver and control access
Deliverables are placed in your shared folder and access is controlled by your approved user list.
Retention and deletion
We do not auto-delete your files. Content remains available in your shared folder unless you explicitly delete it. If you prefer periodic purges after review, we can structure folders to support that workflow.

Do you automatically delete files?
No. Nothing auto-deletes unless you explicitly delete it. Your files remain in your shared folder unless you choose to remove them.
Can my employees access the shared folder?
Yes. We can support user-based access so the owner can share with designated staff. We can also separate Working and Archive areas if helpful.
Are documents searchable?
Yes. We apply OCR so PDFs are text-searchable, which improves retrieval speed for names, dates, and keywords.
Can you support retention-ready formats?
Yes. We can provide PDF/A options for retention-focused archives when that aligns with your requirements.
